Back office and booking system for El teu Core

A custom application to manage the centre’s schedule, review bookings and give clients a calendar showing available appointment times for each service.

THE CHALLENGE

Connect the availability managed by the centre with the times clients can book, accounting for appointment lengths, public holidays and one-off changes.

THE APPROACH

A private back office with Google sign-in brings schedules and bookings together. Weekly templates automatically generate slots for the next four weeks and populate the public calendar. The system is being validated in test mode before real bookings are enabled.

The same opening hours have to be published every week, or next month’s calendar has to be prepared manually.

The centre defines a template for each service, weekday, time range and appointment length. The system automatically keeps the next four weeks available without having to republish the schedule.

Holidays, days off or a one-off change require appointment slots to be reviewed and removed individually.

The back office can block a day for the whole centre or a single service and add extra appointment times. Public holidays common to Catalonia are applied automatically, while existing bookings are preserved.

Booking an appointment requires clients to exchange messages until they find a free day and time.

A monthly calendar shows only days with availability. Clients select a service, day and time and provide their name and a phone number or email address; booked slots become unavailable.

Requests arrive through different channels, making it hard to track pending appointments and cancellations.

A private view brings bookings together with the service, time and contact details. The centre manager can mark them as confirmed or cancel them to release the slot.

The centre needs to prepare its schedule and test the process before collecting client data.

The back office works independently of public booking activation. Test mode validates the journey using fictitious identities, without sending or storing personal details entered in the form.
