Event management for El Dien Càtering
A custom application connecting events, guests, attendance and seating plans, with scale layouts and documents to prepare each service.
THE CHALLENGE
Coordinate multiple events and services while keeping track of guests, confirmations and seating changes across separate lists and plans.
THE APPROACH
A back office centralises each event, its services and its guests. A scale map helps prepare spaces, tables and chairs, and generate maps and directories from current data. The first phase is deployed in a provisional environment and remains under validation with the client.
Does this sound familiar?
Guests are managed in a spreadsheet, with different confirmations for each service.
Each event centralises people, groups and attendance by service. List imports allow changes to be reviewed before confirmation.
Moving someone to another table means updating the plan and checking available seats by hand.
The map links each attendee to a chair and table. The team can rearrange assignments and check occupied seats without duplicating people.
The same space has to be redrawn, or it is difficult to know whether a layout will fit.
Reusable spaces include dimensions, doors and reference elements. Tables are arranged to scale, with measurements and overlap warnings.
Maps and arrival lists are prepared separately and can end up showing different versions.
Service maps and an alphabetical directory are generated together from current data, in print formats suited to the service.
